5.5.13 Remote Work Policy

  1. Purpose To provide guidelines for employees of the Garnet A. Wilson Public Library to perform their job duties from a remote location, either temporarily due to emergencies (e.g., disaster recovery) or as part of an approved flexible work arrangement.
     
  2. Scope This policy applies to full-time and part-time staff whose job functions can be reasonably and effectively completed from a remote location. It does not apply to public service roles requiring physical presence (e.g., circulation desk, custodial services).
     
  3. Eligibility Eligible employees must:

    • Have job duties that are measurable and can be performed remotely.
    • Have access to a reliable internet connection and a secure work environment.
    • Maintain confidentiality and follow library policies while working off-site.

    Final eligibility and approval are determined by the Library Director or supervisor.

  4. Types of Remote Work
    • Emergency/Temporary: Activated during building closures, public health emergencies, weather events, or IT disaster recovery.
    • Scheduled/Flexible: Pre-approved routine work-from-home arrangements (e.g., 1–2 days per week).
    • Project-Based: For tasks requiring uninterrupted time, such as data entry, grant writing, or system upgrades.
       
  5. Remote Work Expectations
    • Maintain regular work hours and be available via phone, email, or chat during assigned shifts.
    • Submit a daily or weekly log of work completed, if requested.
    • Protect all sensitive patron or library data using encrypted storage or secure platforms.
    • Follow the same IT, internet safety, and confidentiality protocols as onsite work.
       
  6. Equipment and Technology The library may provide:

    • Laptop or tablet
    • VPN access or cloud platform credentials
    • Software licenses

    Employees are responsible for:

    • Internet access
    • A quiet, secure work environment
    • Basic troubleshooting of home equipment
       
  7. Timekeeping & Leave
    • Non-exempt employees must accurately record hours worked and take required breaks.
    • Overtime must be pre-approved.
    • Sick or vacation time must be reported as usual.
       
  8. Communication Employees must:
    • Check and respond to emails and messages regularly.
    • Attend virtual meetings and trainings as scheduled.
    • Notify their supervisor of any disruptions that prevent them from working (e.g., power outage, illness).
       
  9. Security & Confidentiality Employees must:
    • Keep physical documents secure and return them to the library as required.
    • Avoid using public Wi-Fi for library work unless connected through a secure VPN.
    • Report any suspected data breach or IT issue immediately to the IT Administrator.
       
  10. Termination of Remote Work The library may revoke remote privileges at any time based on:
    • Performance issues
    • Operational needs
    • Noncompliance with this policy
